3 Full-time 3 hours ago Full Job Description Position Summary Business Office Assistant - Base, Jasper Campus The Business Office Assistant will perform administrative and routine clerical tasks.
Their responsibilities will include organizing and managing files, supporting payroll, accounts payable, account receivable and accountants SALARY RANGE:
Minimum $32,966 to $48,728 based on experience and educational level for placement on the Alabama State Salary Schedule E3- 05.
Essential Duties and Responsibilities DUTIES:
In addition to adhering to the guidelines as specified by Bevill State Community College Personnel Handbook and the State Board of Education, duties will include, but are not limited to, the following:
Perform general clerical duties for payroll, accounts payables, accounts receivable and filing systems.
Assist Accountants in maintaining and balancing accounts.
Assists with restricted funds reporting and billing.
Assists with Accounts Payable for the College.
Serve as backup cashier on all campuses.
Prepare miscellaneous reports and assist with projects as needed.
Scan and index digital documents for the Business Office.
Assists with the preparation of Accounts Receivable billings for tuition and fees, for the College.
Assists with external agencies to clear any issues with invoicing to allow payments to be made in a timely manner.
Assists with student billing and preparing Invoices each term for outstanding balances owed to the College.
Assists with delinquent student accounts to be turned over to Director of Accounting and Finance for reporting to collection agency.
Maintain college HOLD accounts.
Records, tracks, and sends notifications related to tuition deferment contracts.
Maintains office supply inventory and placing orders when needed.
Answers the telephone and providing appropriate information pertaining to Business Office functions daily.
Retrieves, opens, and forwards mail and faxes.
Perform and maintain equipment inventory.
Ensures all documents required by external auditors are properly maintained and readily available during annual audits.
Complies with all policies and procedures of the Alabama Board of Trustees, the Alabama Community College System, and the College.
Self-Training - (Webinars as well as FAQ) in TouchNet, Banner, Department of Ed.
, etc.
Other duties as assigned by Director of Accounting and Finance or Accountants.
Qualifications EDUCATION REQUIRED:
Associate Degree from a regionally accredited institution is required.
Two years' experience working in a Business Office setting (preferred).
Knowledge of Banner systems and Touchnet (preferred).
SKILLS REQUIRED:
Must be proficient in Microsoft Office applications such as Word and Excel.
Ability to learn specialty software and database applications.
Strong analytical and problem-solving skills, superior verbal and written skills, and attention to detail.
Strong interpersonal skills are essential.
Must have the ability to maintain confidential information.
Must effectively organize priorities and work under pressure in a fast-paced environment.
Must possess the ability to work well in a team environment and collaborate with peers as needed.
Must communicate effectively with employees at all levels of the organization.
Knowledge and understanding of relevant state and federal regulations are required, as well as company policies and benefit plans.
